We are currently seeking an individual as a Receptionist / Support Services Assistant to provide general reception and hospitality services for the Support Services office including but not limited to welcoming guests, answering and directing telephone calls, providing food and refreshments for meetings, daily clean up, and to perform administrative duties at the ERS Support Services office in accordance with established procedures and as directed by the Executive Assistant who reports directly to the President and CEO.

Responsibilities

  • Creates and maintains an atmosphere of warmth, welcome and positive emphasis.
  • Answers multi-line telephone; determines nature of call and directs caller to appropriate individual or department.
  • Receives inquiries from staff, residents and guests and releases information in accordance with established policies and procedures.
  • Independently completes projects/tasks as assigned.
  • Takes an active role helping with administrative tasks including filing, copying, mailings, composing and typing confidential material, formatting/ revising existing documents using the computer.
  • Assists residents as requested/needed. Understands the dynamics of the residents’ needs with the business office.
  • Operates copier, postage machine, fax machine, laminating machine and paper shredder. Maintains and reports equipment malfunctions to supervisor or places service call as required. Ability to order office supplies on-line.

Qualifications

  • Must possess, as a minimum, a high school diploma or equivalent.
  • Prior customer service or administrative experience preferred.
  • Must be able to demonstrate professionalism as a member of the office of the President and CEO.
  • Must possess excellent business grammar and communication skills.
  • Must have knowledge of business writing, Microsoft office and internet.
  • Must be able to read, write and understand the English language and speak it in an understandable manner.
  • Must be able to lift up to 25 lbs on a regular basis and up to 50 lbs. occasionally.
