Marjorie P. Lee Retirement Community, voted as one of the top retirement communities on the east side of Cincinnati is seeking candidates for an Admissions Assistant position in the Case Management department. The primary purpose of this position is to provide administrative support in all aspects of the marketing and admissions function at the Marjorie P. Lee Retirement Community for the purpose of maintaining occupancy levels. The position works closely with and reports to the ERS Case Manager. 

Responsibilities

  • Assists the Case Manager in maintaining occupancy levels at the Marjorie P. Lee Retirement Community.
  • Assists the Case Manager with the admission. This includes, but is not limited to: conducting tours within all levels of care; gathering information, application forms, financial and insurance data, advance directives, etc.; notifying appropriate departments relating to admission preparation, updating waiting lists and contacting resident’s physician.
  • Is familiar with all aspects of admission process and criteria, and directs prospective residents appropriately.
  • Obtains appropriate signatures and documentation related to admission under the supervision of the Case Manager.
  • Distributes and/or copies documents related to admission process to the resident’s file and to appropriate departments.
  • Prepares admission packets including copying forms as needed.
  • Assists with incoming/outgoing calls, urging prospects to tour the facility.
  • Is responsible for managing the database of prospective residents by logging all activity.
  • Provides tours, performs interviews and responds to mailings and phone calls.
  • Obtains precertification and/or confirmation of benefits and eligibility for Outpatient Therapy Services under the supervision of the Case Manager.
  • Obtains updated insurance, T.B testing and licenses from external vendors; enters this information into a data base and reports any discrepancies or missing items to the facility administrator.
  • Completes monthly marketing summary reports; this includes maintaining sales summary, occupancy reports, turnover reports and other sales reports as needed.
  • As an ERS team member, upholds the philosophy of Person Centered Care while performing duties; whenever possible, acts to restore and/or provide Purpose, Choice and Freedom to our residents.

Qualifications

•Must possess, as a minimum, a high school diploma or equivalent.
•Must be proficient in MS Word and Excel.
•Must be able to read, write, and communicate effectively in the English language and follow written/oral instructions.
•Must possess sight/hearing senses, or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
•Must possess the ability to make independent decisions when circumstances warrant such action.
•Must be able to bend, stoop, lift, and push up to 25 pounds or a regular basis, stand and move intermittently throughout the work day.
•Must function independently, have flexibility, personal integrity, and the ability to work effectively and harmoniously with other personnel.
•Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel and general public.
•Must be able to relate to and work with the ill, disabled, elderly, emotionally upset, and at times, hostile people within the facility.
•Must be able to cope with the mental and emotional stress of the position.
•Must not pose a direct threat to the health of safety of other individuals in the workplace.
•Must be able to maintain regular attendance.
