The Administrative Assistant provides support to the Vice President of Residential Housing and Healthcare with scheduling, creation of documents, filing and other tasks. The individual in this role also serves as the supervisor for the Deupree House receptionist.

Responsibilities

  • Creates and/or completes complex projects using MS Word, PowerPoint, Excel, Publisher and Photoshop, including but not limited to mail merges, tables, document set up, index/tables, clipart, presentations, graphs, spreadsheets, database administration such as the import and export of data into other formats, brochures, cards, mailers, flyers, newsletters, and other literature. Performs functions as requested and ensures quality and reasonable turnaround for all duties completed.
  • Provides support to the VP of Residential Housing and Healthcare as well as the DH Executive Committee and Resident Committees as needed.
  • Assists with coordination of meetings and managing meeting calendars.
  • Responsible for managing department budget.
  • Maintains office equipment and assists with supply ordering.
  • Processes accounts payable and manages petty cash and the resident bank.
  • Answers phones, greets visitors, and provides customer service as appropriate.
  • Participates in the development of special projects and department initiatives. Develops knowledge necessary to effectively complete projects or assignments.
  • Assists with, and supports, the development, implementation and coordination of department policies and procedures.
  • Responsible for supervising the Deupree House receptionist.
  • Responsible for the management and oversight of the Deupree House administration staffing and expense budget.
  • Takes initiative to make the working environment more effective. Is creative in finding ways to make things flow more smoothly. Consults with managers on new processes and/or issues that may affect the team or organization as a whole.

Qualifications

  • Must possess high school diploma or equivalent, a minimum of three (3) years general office experience and previous customer service experience.
  • Must have prior experience using and above average knowledge of MS Word, MS Excel, MS PowerPoint, MS Publisher, MS Outlook, and a willingness and aptitude for learning new computer programs.
  • Good understanding of office equipment functions (i.e. postage meter, copier, printers, fax, etc.).
  • Excellent organizational skills with strong attention to detail.
  • Must be able to read, write, understand and communicate effectively in the English language.
  • Must possess the ability to make independent decisions when circumstances warrant such action.
  • Must be able to illustrate excellent grammar, editing and writing skills.
  • Above average problem solving and systems thinking abilities.
  • Must be dependable and able to work independently with little supervision, be a team player who actively participates in department and organization initiatives.
  • Must present a professional image and decorum.
  • Must possess the ability to deal tactfully and effectively with personnel, residents, family members, visitors, vendors, government agencies and the general public.
  • Must possess the ability to work harmoniously with and supervise other personnel when needed.
  • Must have patience, tact, cheerful disposition, and enthusiasm, as well as be willing to communicate effectively with residents, staff, and visitors based on whatever maturity level they are currently functioning.
  • Must be able to lift up to 25 lbs on a regular basis and up to 50 lbs. occasionally.
  • Must have the ability to maintain strict confidentiality at all times.
